Privacy Policy

Hello Sam (https://hellosam.pro) is a personal AI meeting assistant named Sam. Sam joins your Google Meet calls, always tells the room it is an AI and that the meeting is recorded, takes notes, and sends you a report. This policy explains what we collect and how we use it.

What we collect

• Account details: your name, email address and sign-in method (Google or email and password), plus optional profile details such as job title and time zone.
• Calendar data: if you connect Google Calendar, we read your upcoming events (title, time, attendees, meeting link) with read-only access. We never create, edit or delete calendar events.
• Meeting content: audio, transcripts, notes, summaries, decisions and action items from meetings Sam attends, and any briefs you give Sam.
• Usage data: basic product analytics such as pages used, minutes used and your country (derived from your network address, country code only).

How we use it

• To join meetings, transcribe them and produce your reports, action items and recap emails.
• To answer your questions in Ask Sam, using only your own meetings.
• To run, secure and improve the service, and to enforce plan limits.

We do not sell your data and we do not use it for advertising. We do not use your meeting content to train AI models.

Google user data

Hello Sam's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We request only the read-only calendar events scope, and use it solely to show your upcoming meetings and let Sam join them. We do not transfer this data to others except as needed to provide the service, comply with law, or with your consent, and no humans read it unless you ask for support or it is required for security or legal reasons.

Who processes data for us

We use trusted providers to run the service: Supabase (database, authentication and file storage), Vercel (hosting), Recall.ai (the meeting bot and recording), ElevenLabs (Sam's voice), Anthropic (AI summaries and answers) and Resend (email). They process data only on our instructions to provide their service.

Recording and consent

Sam announces that it is an AI and that the meeting is recorded when it joins. You are responsible for making sure you have the right to record meetings you invite Sam to, including any consent required by local law.

Retention and deletion

We keep your data while your account is active. You can delete your account at any time in Settings. This permanently removes your profile, meetings, recordings, folders and calendar connection, and revokes our Google access. You can also disconnect Google Calendar from Integrations, or revoke access from your Google account.

Security

Data is encrypted in transit, and access to your data is restricted to your own account. No system is perfectly secure, but we work to protect your information.

Your rights

You can access, correct or delete your data from the app, or by contacting us. Depending on where you live, you may have additional rights under laws such as GDPR or NDPR.
